Running short and buying far more than the event can use are both reasonable planning concerns. A transparent estimate helps you compare those tradeoffs against the budget and restocking options.

A stated set of assumptions makes the estimate easier to check and adjust. Let's break down the inputs that change the math.

Step 1: Know Your Ratios

Beverage preferences vary by guest list. These are the three selectable planning profiles used below; choose the one that best matches what you know about your guests:

Step 2: The "Safe Bet" Buffer

The calculator offers an optional 20% buffer. Consider it when restocking is difficult or your guest count is uncertain; turn it off when the venue can replenish inventory or excess stock would be hard to use.

Return policies vary by retailer, product, and jurisdiction. Confirm the written policy before relying on returns when deciding whether to add a buffer.

Step 3: Glassware & Logistics

Build the glassware count from the actual menu and service sequence. Account for simultaneous drink service, collection, washing, turnaround, breakage terms and venue restrictions.
